Privacy Policy

This Policy explains what information One True Vow collects, why we collect it, how it’s used, and the choices you have. We keep things simple and only use data to run and improve the Service.

Important: Couple wedding websites can be public. Anything a couple publishes on their own site may be visible to anyone with the link (and may be indexed by search engines, depending on settings and discovery).

1. Who we are

One True Vow provides a wedding website creator and planning platform (the “Service”). This Privacy Policy explains how we handle information across the main site, couple subdomain sites, admin tools, and vendor advertising tools.

2. What data we collect

2.1 Account & profile information (couples and vendors)

  • Email address and login details (stored securely).
  • Optional profile details you add (e.g., couple names, wedding date, venue name).
  • Vendor details (business name, category, description, logo/images, contact details).

2.2 Website content you create

Couples may upload and publish content such as text, photos, schedules, gallery images, and other page sections. Couples are responsible for ensuring they have rights to use any uploaded content.

Shared images: We may provide default/shared images you can use inside the editor.

2.3 Guest submissions

Guests may submit information on a couple’s website, including:

  • RSVP responses (names, attendance, notes)
  • Guestbook messages
  • Music requests
  • Quiz answers
  • Other future submission types (such as menu choices)

Guest content is collected for the purpose of helping couples manage their wedding and is moderated by the couple through the admin console.

2.4 Technical / usage data

  • IP address, device and browser information
  • Approximate location (derived from IP, not precise GPS)
  • Logs needed to keep the Service secure and stable (error logs, access logs)

2.5 Communications

If you contact support, we collect the information you include in your message so we can help.

3. How we use your data

We use data to:

  • Provide the Service (create websites, save edits, publish sites, manage RSVPs, seating plans, etc.)
  • Enable guest submissions and show them to the couple (with moderation tools where available)
  • Keep the platform safe (fraud prevention, abuse detection, account security)
  • Improve features and fix bugs
  • Respond to support requests
We do not sell your personal data. We also do not use personally created couple websites for marketing without consent.

4. Public websites & search engines

Couple websites may be published publicly (often on a subdomain). If a couple publishes their website publicly, the content they choose to publish may be visible to anyone with the link and may appear in search engines.

Couples control what information they publish, and they should avoid publishing sensitive personal information if they do not want it publicly discoverable.

5. When we share data

We only share data in limited situations:

  • With service providers who help us run the platform (hosting, security, payments), only as needed.
  • With vendors when couples send enquiries (the enquiry content is shared with the vendor so they can respond).
  • For legal reasons if required to comply with law or protect the Service and users.
  • With your consent, if we ask to feature your names/website and you agree.

We do not share guest submissions publicly unless the couple chooses to publish them (e.g. approved guestbook messages displayed on the wedding site).

6. Vendor data

Vendors may create advertiser accounts and upload business listings (images, description, categories, contact information). Vendor listings are intended to be public so couples can discover and enquire.

Vendors are vetted by One True Vow, however One True Vow does not manage vendor bookings or off-platform payments between couples and vendors.

7. Payments

Vendor advertising is subscription-based. Payments may be processed by a third-party payment provider (for example, Stripe). One True Vow does not store full payment card details on our servers.

Payment providers may have their own terms and supported country rules that apply to you.

8. Cookies & analytics

We may use cookies or similar technologies to:

  • Keep you signed in
  • Remember settings (such as editor preferences)
  • Measure performance and improve the Service
  • Protect against abuse and spam

If you later add a cookie banner and consent controls, you can expand this section to match the specific analytics tools you use.

9. Security

We take reasonable steps to protect data, including access controls and secure storage practices. No system is perfect, so we cannot guarantee absolute security — but we work hard to keep the platform safe.

10. Data retention

We keep data for as long as needed to provide the Service and for legitimate operational reasons (such as security, backups, and dispute handling).

  • Couple websites: stored while the account remains active (and may remain in backups for a limited period).
  • Guest submissions: stored so couples can manage their wedding (and may remain in backups for a limited period).
  • Vendor listings: stored while the vendor subscription is active (and may remain in backups for a limited period).

Backups may contain historical versions of data. We may not be able to selectively remove data from backups immediately, but it will expire/rotate over time.

11. Your rights & choices

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. We aim to help with reasonable requests.

11.1 Couples

  • You control what is published on your wedding website.
  • You can remove or edit content you have posted via the admin panel.
  • You can moderate guest submissions (where moderation is available).

11.2 Guests

If you submitted information to a couple’s site (RSVP, guestbook, etc.) and want it removed, please contact the couple first (they control moderation). If that’s not possible, email us and we’ll help where we can.

11.3 Requesting help

Email support@onetruevow.com with the request and enough detail for us to verify and assist.

12. Age limits

One True Vow accounts are intended for users aged 18+. Guests who submit RSVPs or messages should do so with appropriate permission and supervision where required.

13. Changes to this policy

We may update this Privacy Policy as we improve the Service. When changes are important, we’ll do our best to provide notice through the website or admin panel.
